Find everything, know quicker and get a flying start
Innovating and documenting has never been so easy. BlueSpice functions make your work effective.
Searching and navigation
Locate information professionally
Search within articles and attachments (e.g. PDF, Office documents) using a high-performance full text and title search, and a fuzzy search. Limit the search to a particular area via filters to give quick and efficient search results. You can also find your contents via a semantic search and browse the metadata.
Content structuring
Organise your knowledge like in Wikipedia
BlueSpice provides you with a highly-flexible system to give your knowledge structure. Namespaces collect special content and user groups, templates organise articles and embed content into several places. Round off your wiki with subpages and categories, and manage content via forms.
Editor
Create and edit appealing articles with ease
Your colleagues work with a well-engineered WYSIWYG editor including a table function and many business-specific enhancements. Insert pictures via copy and paste. Working with links and categories is just as straightforward as inserting tags and check boxes.
Rich articles
Equip articles with dynamic functions
Extend the capabilities of your wiki pages with additional functions and an innumerable choice of dynamic contents. For example, you can use search or input fields, insert videos, draw flow charts, supplement your page with content from other pages or read off data in calendar formats, timelines or diagrams.
Document management
Work safely with attachments
Categorise the documents you upload and store them with versioning. BlueSpice also lets you sort documents in a directory structure, edit optional Office documents within the wiki and limit access to documents according to content areas.
Data analysis
Tie in and read out metadata
Semantic business wikis make it possible to enrich wiki articles with metadata and additional information and immediately query the up-to-date information. In this way, you can integrate structured data directly into the wiki. Simple forms let non-experts create and edit information with ease. This is ideal for process or competency descriptions, or for managing products and events.
Quality assurance
Coordinate reviewing and approval
Full control: You can watch articles and receive notifications when they are changed. Your colleagues can see any and all changes at a glance. On top of this, you can name responsible editors or initiate a review of article contents using workflows: The relevant colleagues edit the articles in a draft mode until the article is approved at the end of the process. Quality assurance is completed with further functions like the resubmission of articles for review and the expiry function.
Bookmaker
Create and export books
Compile a collection of individual articles from your wiki quickly and easily, creating handbooks, documentation or instruction books with chapter navigation directly in your wiki. Export the wiki books you have drawn up in this way with our integrated PDF converter. Bookmaker lets you equip the PDF with file attachments, a clickable contents page and a coversheet with your company's own individual design!
Reporting
Understand changes systematically
BlueSpice has the unique set of reporting and notification functions from Wikipedia. You can follow the latest changes in namespaces and categories, in linked pages or user changes. Alternatively, you can find what material has not been edited for a long time. Keep informed about what is happening in your area of expertise with your dashboard and via configurable lists.
Communication
Discuss edits
Every article has a talk page for discussing future edits. Users can add feedback and evaluation via a shoutbox. And in the wiki-internal blog, members of staff can find out about large-scale edits, campaigns and news from the author community.
Export
Edit contents externally
Articles can be exported in all sorts of formats: DOCX, XML, HTML und PDF. A particularly helpful function is ExportTables: Not only tables from articles but also overviews from the wiki administration (e.g. an overview of user permissions) can be converted into CSV or XLXS tables and worked on further.
Administration
Manage the wiki conveniently
BlueSpice makes managing your wiki child's play. Set up users, namespaces, groups and permissions with a graphical interface. As an administrator, you can rename and merge accounts, copy articles or replace sections of text in all articles. The latter is, for example, very helpful when renaming categories.
Infrastructure and security
Integrate with other systems over secure interfaces
Looking deeper into BlueSpice shows a multitude of important security features and abilities to connect with other systems. Naturally, you can connect to a central authentication system (LDAP /AD) or provide APIs. There are so many design possibilities for developers: You can use the scripting language Lua, for example, to automate templates and use ExternalData to integrate external data sources.
Personalisation
Your own individual view of the wiki
Set the wiki up the way you want: Your user page not only gives you the space for your own profile, but also for notes which are only of interest for you. The user settings let you configure important functions, like notification mails, according to your needs. And the dashboard and personal navigation bar bring you directly to the themes that particularly interest you.
Skinning
Set up the layout and design to correspond to your corporate design
You can customise the look and feel of the wiki as you like: By tailoring the BlueSpice skins or by using your own skins. The quickest way to design your wiki is to use the FlexiSkin function, with your logo, colours and backgrounds.
Mobile
Access the wiki on the road
BlueSpice supports mobile applications, of course. The MobileSkin lets you search the wiki and browse and edit articles, or take a look at your recent notifications.
